Whistleblower Policy

1. Purpose

Muslim Welfare Association (“the Organization”) is committed to maintaining the highest standards of ethics, integrity, and accountability. The purpose of this Whistleblower Policy is to encourage and enable employees, board members, volunteers, and other stakeholders to report suspected misconduct, fraud, or violations of law or organizational policy without fear of retaliation.

 

2. Scope

This policy applies to all employees, board members, volunteers, contractors, and partners of Muslim Welfare Association.

 

3. Policy

It is the responsibility of all members of the organization to report any activity that appears to be:

  • Illegal or unethical,
  • A violation of organizational policy,
  • Misuse of organizational funds or assets,
  • Instances of fraud, corruption, or conflict of interest, or
  • Actions endangering public health or safety.

 

4. Reporting Procedure

  1. Initial Report: Concerns should be reported in writing or verbally to the Executive Director or Chair of the Board of Directors.
  2. Alternative Reporting: If the concern involves the Executive Director or Board Chair, reports may be submitted to another member of the Board or sent anonymously to the organization’s official email: info@muslimwelfareassociation.org (or another designated reporting address).
  3. Anonymous Reports: Reports may be made anonymously. However, providing sufficient detail is encouraged to allow for a thorough investigation.

 

5. Investigation

  • The Board of Directors, or a committee appointed by it, will oversee the investigation of all credible reports.
  • Investigations will be conducted confidentially and impartially.
  • Findings and recommendations will be documented and retained securely.

 

6. No Retaliation

No individual who, in good faith, reports a concern under this policy shall suffer harassment, retaliation, or adverse consequences. Anyone who retaliates against a whistleblower will be subject to disciplinary action, up to and including termination or removal from the Board.

 

7. Confidentiality

Reports will be kept as confidential as possible, consistent with the need to conduct a complete and fair investigation and to comply with legal obligations.

 

8. Good Faith Requirement

Individuals filing a complaint must act in good faith and have reasonable grounds for believing the information disclosed indicates misconduct. False or malicious allegations may result in disciplinary action.

 

9. Policy Review

This policy will be reviewed periodically by the Board of Directors to ensure continued compliance with legal standards and best practices in nonprofit governance.
